DEPOSIT REGISTRATION SERVICE

  • Deposit Registration with Certificate and issuing of statutory Prescribed Information

TENANCY SET UP SERVICE

  • Provide full referencing and credit check and complete Right to Rent checks (if required)
  • Provide and execute tenancy agreement

LETTING SERVICE (including Tenancy Set Up and Deposit Registration)

  • Visit the property and advise upon rents, furnishings and related matters .
  • Advise on Statutory Requirements
  • Promote the property including advertising on internet portals, website and through our property listings, applicant database.
  • Erect a “To Let” Marketing Board and a “Let by” Marketing Board when let.
  • Arrange appointments for prospective tenants to view.
  • To accompany prospective tenants to viewings.
  • Negotiate and agree between landlord and tenant subject to contract a rent and length of tenancy.
  • Collect one months rent in advance, together with the tenants deposit.
  • Arrange initial Inventory/Schedule of Condition (chargeable in addition to our fees to the landlord at cost)
  • Arrange Gas Safety Certificate/Electrical Safety Certificate/Energy Performance Certificate/Legionella Certificate/PAT Testing Certificate (all chargeable in additional to our fees to the landlord at cost).
  • Change of occupancy Notification to utilities and Council Tax.
  • After deduction of fees forward balance of monies received, or invoice additional fees owing.

LETTING AND RENT SUPERVISION (including Tenancy Set and Deposit Registration)

  • To perform the Letting Service
  • Arrange to receive the rent from the tenant(s) and forward it on to the Landlord.
  • Payment will be made to the Landlord within 10 clear working days following receipt of the rent. Payment will be sent directly to the landlords Bank or Building Society Account, unless otherwise directed.
  • Provide a monthly statement of rent showing income, expenditure and balance.
  • Provide an annual statement showing income, expenditure and balance if required.
  • Take all reasonable steps to demand the rent and to service legal Notice if required

FULLY MANAGED (including Tenancy Set Up and Deposit Registration)

  • To perform the Letting and Rent Supervision Service.
  • Visit the property whilst tenant(s) are in occupation up to four times a year where possible; a report will be sent if required detailing any observations or maintenance that need addressing to the Landlord. N.B. General repairs, maintenance and visits will only be carried out during tenancies and not during void periods whilst the property is not occupied although this service can be offered by arrangement.
  • Deal with any matters arising during the tenancy in connection with general repairs and maintenance.
  • Arrange contractor visits for quotes and maintenance required.
  • Instruct tradesmen to carry out any maintenance, repairs and other work on your behalf, to inspect if necessary.
  • Receive invoices from contractors to be added to and paid from your rent account and detailed on monthly statements.
  • Deal with tenant daily enquiries.
  • Recording and preparing for safety certificate renewal dates and tenancy renewal dates, among other periodic events.
  • Arranging payment of all regular outgoings such as service charge and ground rent
  • Arranging of Contents, Buildings, Legal Protection and Rent Guarantee Insurance if required.
  • Provide check out advice and procedures to tenants.
  • Arrange Check Out Inventory Inspections (at landlords additional expense)
  • Enter into deposit negotiations at end of tenancy, discussing proposed deductions, providing quotes, including outstanding rents, damages, missing items or dilapidations in line with the Deposit regulations (NB should an agreement between parties not be reached and Deposit Dispute Adjudication be required there will be an additional charge for Deposit Dispute Preparation and Submission of Documents, the cost will be dependant on the individual case and should be discussed with us if the agents services are required to assist with this)

MANAGEMENT ONLY SERVICE for PRE EXISTING TENANCIES

  • Visit the property whilst tenant(s) are in occupation up to four times a year where possible; a report will be sent if required detailing any observations or maintenance that need addressing to the Landlord. N.B. RENEWAL SERVICE

  • Contact the Landlords towards the end of the initial fixed term to establish if the tenancy is to be renewed.
  • Review the rent and period of extension.
  • Contact the Tenant to establish if they wish to extend or renew the tenancy advising of any proposed change in rent.
  • Prepare and execute Tenancy Agreement or extension/renewal documents for both parties.
